Stand Participation Terms

Last updated: 27/10/2026

1. Purpose

These terms govern the participation of exhibitors and traders through the temporary allocation of a stand space at La Cantera Country Fest 2027, to be held on 28 and 29 May 2027 in Bellvei (Tarragona).

Taking part implies acceptance of these terms and of the organisation’s instructions regarding the running of the Festival.

2. Stand types and prices

Prices cover both days of the Festival:

  • Stand S: 2 × 2 m (4 m²), €50.
  • Stand M: 3 × 3 m (9 m²), €75.
  • Stand L: 6 × 3 m (18 m²), €120.

The price includes only the allocated space and electricity supply. It does not include a gazebo, tables, chairs, furniture or any other set-up items, which each exhibitor must bring. Each stand may have up to four authorised people. Authorised people working at the stand do not need a Festival ticket.

3. Product types and selection

Applications related to the theme of the Festival will be accepted, such as crafts, fashion, accessories, country and western products, country rock style, vintage items, hats, tattoos and other proposals in keeping with the look and feel of the Festival.

The organisation will select proposals based on how well they fit the theme, the variety of the offer and the availability of space. Submitting an application does not guarantee acceptance.

Only the products and services declared in the application and approved by the organisation may be sold or offered. Any later addition requires prior authorisation.

4. Application, booking, payment and promotional material

Applications must be sent by email to canteracountryfest@gmail.com, stating the activity, the products or services to be offered and the type of stand requested.

If the application is accepted, the organisation will send a separate link to complete the booking and payment. Acceptance of the application does not in itself confirm the booking: the space is reserved once the booking and payment process indicated by the organisation has been completed.

Once payment is confirmed and the space reserved, the exhibitor must send the following to the same email address: (a) trading name; (b) logo in SVG or PNG format with a transparent background; and (c) Instagram or Facebook username or profile link. This material may be used to promote the market and its participants on the Festival’s channels.

5. Opening hours

  • Friday 28 May: 18:00 to 02:00 (early hours of Saturday).
  • Saturday 29 May: 10:00 to 02:00 (early hours of Sunday).

Stands must remain open, staffed and operating throughout the Festival’s opening hours on both days. Closing early or dismantling during opening hours is not allowed without the express authorisation of the organisation.

6. Set-up, dismantling and access

Set-up may take place on Friday 28 May from 16:00, following the organisation’s instructions.

Dismantling may take place on Saturday 29 May from 23:30 or on Sunday 30 May from 10:00.

Cars and vans will be allowed in for loading and unloading when authorised by the organisation and provided that safety and traffic conditions on the site allow it. Vehicles must be removed from the designated areas once these tasks are finished.

Each exhibitor must bring and set up everything needed for their stand within the booked dimensions, and leave the space clean and clear at the end of their participation.

7. Operating rules

The exhibitor will use only the allocated space. The stand, products, displays, signs and any other items must stay within the booked dimensions, without encroaching on aisles, entrances, common areas or neighbouring stands.

The space must be kept clean and tidy during the event. At the end of their participation, the exhibitor will remove their waste and leave the space free of materials and belongings.

Exhibitors must respect the opening hours, the organisation’s instructions and the site’s safety rules. The stand must remain staffed and operating throughout opening hours; closing or dismantling early is not allowed without authorisation.

Occupying aisles, entrances, common areas or other exhibitors’ spaces, or blocking circulation or evacuation routes, is prohibited.

The space may not be assigned, transferred or sublet, in whole or in part, without the prior authorisation of the organisation.

Only the products or services declared in the application and authorised by the organisation may be sold. Any change or addition requires prior authorisation.

The exhibitor is responsible for obtaining and keeping up to date any permits, licences and authorisations required for their activity, and for complying with the applicable regulations.

Electrical connections and use must be safe and follow the organisation’s instructions. Connections or installations that create risks or overloads are not allowed.

Stands offering tattoos, micropigmentation or piercings must have prior authorisation and, when asked, provide evidence of the permits, training, hygiene and health conditions, informed consent of clients and waste management required by the applicable regulations. They may not provide these services if they do not meet the corresponding requirements.

The exhibitor is responsible for customer service, the information provided, sales, enquiries, complaints and, where applicable, returns or exchanges. The organisation is not a party to the commercial transactions between the exhibitor and their customers.

The organisation does not provide individual security for stands. Each exhibitor is responsible for looking after their products, money, equipment and belongings. The organisation will not be liable for theft, loss or damage, without prejudice to any liability that legally applies to it.

The organisation may require unsafe or non-compliant installations or practices to be corrected. Depending on the seriousness, it may order items to be removed, suspend the activity concerned or request the closure of the stand.

8. Cancellations and refund policy

Cancellation by the exhibitor. Cancellation requests must be sent by email to canteracountryfest@gmail.com. A request is considered received on the date it reaches the organisation and will be confirmed in writing.

If the cancellation is received on or before 27 March 2027, 100% of the amount paid will be refunded. No refunds will be given for cancellations received from 28 March 2027 onwards.

Any refunds due will be processed within a maximum of 14 calendar days from confirmation of the cancellation, using the same payment method used for the booking.

Cancellation of the Festival by the organisation. If the Festival is cancelled, 100% of the amount paid for the space will be refunded within a maximum of 14 calendar days from the announcement of the cancellation.

Postponement of the Festival. The booking will be moved to the new dates. If the exhibitor cannot attend, they may request a full refund by email within 15 calendar days of the postponement being announced.

Cancellation of one day or substantial changes. If one of the two days is cancelled or there is a substantial change of date, times or location, the exhibitor may request a refund for the part of the service not provided, within 15 calendar days of the change being announced.
